At the small business level, it means turning to outside specialists. At the  national level, it means tens of thousands of jobs moving offshore to other  countries.</p>
<p>For years small businesses have turned to outside sources for tax preparation.  With the advent of today&#8217;s information technology, using outside sources for  daily and weekly accounting functions is beginning to make as much sense as the  yearly tax returns. There are hundreds if not thousands of local accounting firms  that provide off site accounting services for small businesses. There are also national firms that provide the same service to local businesses on a  franchise basis.</p>
<p>Seemingly the most popular small business accounting service is payroll  preparation and book keeping. Many small businesses will have an accounting  service prepare their biweekly payroll checks and handle the deductions and the  payments to the government that are required over the course of the year. This  task is easily separated from the daily accounting functions of a business that  has purchasing, sales and invoicing occurring every business day. It also  provides the accounting service with a head start on preparing the business&#8217;s  annual taxes.</p>
<p>With the appropriate software, accounting services can also handle a firm&#8217;s  invoicing and accounts payable in relatively seamless fashion. Done properly it  requires some networking and it requires standardized forms so that the business  staff in the front office understand what the accounting service is doing.  Similarly, the accounting service has to understand what accounts payable are  coming to them and how they should be categorized as a business expense. This  part of an electronic outsourcing system requires some data input as bills roll  into the business office and must be standardized as payables for the accounting  service.</p>
<p>Some accounting services provide a complete accounting service that includes  collecting daily information from the business on a standardized form and  developing a sophisticated database on every aspect of the client&#8217;s finances. The  accounting service will provide work document forms that standardize the process.  They will also handle deposits, banking records and pay the bills. The small  businessman is provided a duplicate copy of the check in order to track the  activities of his accounting service.</p>
<p>Some of these &#8220;full service&#8221; accounting services will manipulate the financial  data they have collected for the business and provide customized reports. They  also supply weekly reports of financial activities. One of the values of a  service like this is for businesses sufficiently large that they loose track of  overdue accounts. A weekly report on the financial activity in the business will provide a weekly reminder of the phone call that needs to be made to the  delinquent customer.</p>
<p>Accounting services can also reduce employee requirements within the business  structure. The key is finding the right balance of on site staff with off site  services so that financial activities flow smoothly and the ability to analyze  and project is one of the end results of the accounting procedure that has been  developed.</p>

There are CPAs, or Certified  Public Accountants, there are EAs, an acronym for Enrolled Agent, and there are people with  accounting expertise but no certification who handle outsourced accounting and bookkeeping for  local businesses.</p>
<p>CPAs are registered with and certified by the state in which they practice. EAs are certified by  the U.S. Treasury Department and can practice their craft anywhere in the country. EAs can prepare  tax returns, represent clients during audits, intercede on collection issues and negotiate payment  plans.</p>
<p>Buying or selling an accounting practice should probably start with the nature of the practice.  Will your skill and certification level match up with the seller or buyer? That is a critical  question, as the value of a practice is really the clients that come with it. It is important that  the buyer be able to service all of them.</p>
<p>Brokers are available to handle the sale of an accounting practice of any type; selling an  accounting firm through a broker is fairly common. The advantage is that the broker will be in  touch with potential buyers or sellers due to his visibility and advertising. The business owner  need not be tied up with the initial discussion phase of the potential sale. And, brokers may be  in a position to sell an accounting business to another firm seeking a property to expand their  business.</p>
<p>The basic financial information that opens discussion is a set of financial statements for the  last five years of operation. These documents should include profit, loss statements and balance  sheets. In the interest of streamlining the process, it might be a good idea for the seller to  have a third party prepare his financial statement, even though that&#8217;s his business. It puts the  credibility issue to rest. Offering to show the business&#8217;s tax returns is a worthwhile gesture &#8211;  or personal tax returns, if the business is a sole proprietorship.</p>
<p>Valuation of similar accounting businesses that have sold in the area is a starting point for  putting a price tag on the business that is on the market. The important figure here is selling  price, not asking price. There is a significant disparity in the small business market. A buyer  may look at the last five year&#8217;s performance and estimate what the next five years will bring. He  can compare that estimate to what investments in other opportunities might bring, and incorporate  some sort of risk factor.</p>
<p>If you are the seller, avoid making profit projections. Local accounting businesses often succeed  on the basis of personal relationships, which the new owner will have to establish on his own. It  is in the interest of both parties to seek legal review of the sales agreement. There are far  more variables in a business sale than in a real estate sale.</p>
<p>The average sales price for an accounting business seems to hover around the figure for a year&#8217;s  gross sales. Review of a listing of accounting firms for sale show the annual gross against the  asking price. Presumably, the gross is an average of the previous five years&#8217; performance. Asking  prices tend to range ten to twenty percent above the gross, so the selling price must presumably  be at or slightly below the annual gross. Definitions for ledger sheets, the language of  the business, the pieces that make an accounting system fit together &#8211; it helps to be conversant  in the language of the trade and understand the tools. You can find an excellent and thorough  overview of the basics, written in comfortable English, at   <a title="Business Accounting Basics" rel="nofollow" href="http://www.businesstown.com/accounting/basic.asp" target="_blank">http://www.businesstown.com/accounting/basic.asp</a>.</p>
<p>Also at that site, you will find discussions of concepts such as cost control, projections, and  credit and collections. An understanding of these issues is important in helping a client analyze  his business based on the evidence found in the accounting documents. It is also helpful in  analyzing your business, or potential business if you are thinking about opening an accounting  firm.</p>
<p>Most of us researching the accounting business at this juncture are contemplating small business  ventures. You can still draw ideas and knowledge from looking at the business plans of larger  concerns. A marketing and business plan for a mid-sized accounting firm can be found at   <a title="Business Plans" rel="nofollow" href="http://www.bplans.com/spv/3382/3.cfm" target="_blank">http://www.bplans.com/spv/3382/3.cfm</a>. There is some market analysis, discussions for growing  the business in various sectors, and a table of hourly fees that the firm charges for various  staff: CPAs, accounting staff, bookkeeping staff and so forth. The firm is based in Southern  California, so adjust your expectations accordingly.</p>
<p>There is a wealth of information at the web site of the AICPA, the American Institute of Certified  Public Accountants. Much of what is found in their main section is news of the industry and the  Association. A little clicking though, and you will find a roster of accounting organizations&#8217;  websites at  <a rel="nofollow" href="http://www.aicpa.org/yellow/ypaass.htm" target="_blank">http://www.aicpa.org/yellow/ypaass.htm</a>. There are dozens of them, regional and worldwide.  There is an American Association of Women Accountants, the British Accounting Association, etc.  One of those groups, the American Accounting Association, has a research page on their website at <a rel="nofollow" href="http://aaahq.org/facdev/research/rpubs.htm" target="_blank"> http://aaahq.org/facdev/research/rpubs.htm</a>.</p>
<p>A professional website that is a little less mercenary and written for the CPA-to-be as well as  people in the trade can be found at   <a rel="nofollow" href="http://www.accountingeducation.com" target="_blank">http://www.accountingeducation.com</a>. This site has some advertised links on it that may or may  not be of value. There&#8217;s a lot of information about the accounting business for sale on the  internet; the trick is finding what you want to know without pulling out a credit card.</p>
<p>One of the choices you might consider is asking a few questions locally. Call a local accounting  firm and ask if there is a local organization. Poke around the local community college and you  will certainly find a faculty member willing to talk with you about resources. There are texts on  how to structure a small business and entire college majors on the business of accounting. Let the  web take you as far as you can go and then decide what questions you have that remain unanswered.</p>
<p>Contact the community college and find a lecturer or professor who will speak with you. At that  level, faculty members often welcomed interested parties of any stripe. Give it a try: one expert  in accounting might lead to another one in small business, who can then send you to a Chamber of  Commerce member who has run a small business for a couple of decades. Just follow the trail.</p>

Tax preparation is the big, once-a- year business opportunity for an accounting firm. Many small accounting firms &#8211; one to five person  shops &#8211; will work twelve hour days, and even longer through March to mid-April during tax season.  For some, it&#8217;s probably like Christmas for a retailer: the season carries them through subsequent  slow months.</p>
<p>Tax preparation as a profession has gotten a lot more time-efficient with the advent of tax  preparation software. Most accountants have moved beyond the consumer-level Turbotax or Taxcut  products to more sophisticated accounting programs. It&#8217;s then a matter of plugging in the figures  provided by the client, helping make decisions on itemization, and dividing taxable from non- taxable expenses.</p>
<p>Small accounting businesses can handle an extraordinary number of tax returns these days. That is  one reason for starting an accounting business: everyone has to pay taxes once a year. A good  accountant can build a customer base that is all he can handle for tax season and most will return  each year. It&#8217;s a retail level business with a guaranteed clientele.</p>
<p>Accounting is a business that builds its clientele on personal relationships. Timely, friendly  service will keep tax customers coming back. Building an accounting business that provides  accounting services for existing businesses requires some marketing and footwork.</p>
<p>Probably the best investment for a small accountant is an ad in the Yellow Pages, as that is where  much of your unsolicited business will come from. The rest will probably come from personal  referrals. A new accounting business can invest in some direct mail to introduce the firm. You can  purchase mailing lists of businesses by zip code and put out a letter or brochure introducing your  firm and your services. Send your mail to the CEO, NOT the accounting department. Follow up your  mailing with a telephone call to see if you can get in the door for an introductory meeting.</p>
<p>For a new business, professionally done presentation materials are a good investment. Prepare a  sheet with a biography and photo of yourself, highlighting your credentials and experience.  Prepare another sheet, or brochure, that illustrates the potential cost savings of outsourcing  accounting services. Write a personal cover letter to the person you&#8217;re meeting or hope to meet.  Put it all in a two or three color folder with the name of your firm on it and mail it &#8211; or hand  carry it, if you&#8217;re going to a meeting. Never run out of business cards.</p>
<p>For a small, new accounting firm its phone work and footwork. If you do enough of it, you&#8217;ll get  some response. So one of the things you want to do before you open your doors is decide how much  business you want. Can you handle the books for two firms? Three? Remember that a tax practice  blows a big hole in the schedule every year.</p>
<p>There comes a point for every small business when the owner will have to hire an employee in order  to continue growth. Perhaps the toughest decision for any small business is when that cycle of  growth reaches a point of diminishing returns &#8211; when the additional income doesn&#8217;t pay for  additional staff or for the headaches that always accompany success.</p>

The purpose of a  language is to communicate. If a business owner is to communicate with all that have a stake or an  interest in his business, he needs a language to explain his business.</p>
<p>He needs to explain the performance of the business to stockholders and co-investors. He has to  file tax returns that include forms describing in detail the activities of the business including  cash flow, gross and net profits, deductible expenses and so forth. The only way to explain these  things is with numbers, organized in a structure that all parties can understand. That structure,  the sentences and paragraphs of the &#8220;language of business&#8221; is found in the rows and columns of  accounting documents.</p>
<p>The basics of accounting follow the cycles of a business through the course of a &#8220;fiscal year.&#8221;  The end of that year may or may not be defined by the date federal taxes are due. In any case, the  accountant begins with a general ledger that records business transactions. Debits and credits are  recorded in detail or within a system that connects them to a record on each item kept elsewhere.  At some point the general ledger is reconciled and a financial report is prepared.</p>
<p>The income statement reflects income and expenses, which define the company&#8217;s performance. The  balance sheet shows the company&#8217;s position at any point in time by itemizing assets, liabilities  and equity.</p>
<p>A cash flow statement will take the income and expense figures over time and provide cash flow  projections based on anticipated sales and disbursements. From this, some degree of management  evaluation can be made and decisions made on company business strategy moving forward.</p>
<p>Accounting records business transactions and then manipulates the transaction records to develop  tools of analysis. A business&#8217;s accounting also supports the annual tax filing that the business  makes and the position taken on any number of business costs and expenses that are claimed as tax  deductions.</p>
<p>In a public company there are many arenas for debate. In upper management with board members and  among stockholders, business strategy is very much an open question. The records provided in a  public company&#8217;s annual report and 10K filings provide the analytical tools to fuel discussion on  business performance. Numbers take on strategic meaning and represent the wisdom and risk of  various business decisions.</p>
<p>A premier example of substantial business risk is an acquisition. Before one company buys another,  the process of due diligence provides for minute inspection of the performance turned in by the  property for sale. That is to be found in those columns of numbers generated by the accounting  department. The standards of accounting are found in agreement on its terminology and the  structure of its documents. The language itself is composed of the numbers that fill those  documents, and the message is the story they tell about a business&#8217;s economic performance.</p>

Accounting is, however, an  important area of study for the business student; many schools provide business majors with  specialization in accounting. The Dickensian image of the accountant perched on his stool with a  green eye shade has lingered far too long. Accounting managers are responsible for complex  database management, employee costs and, to an increasing extent, fiscal strategy within business  management.</p>
<p>Online business schools provide a number of degrees that include  accounting within the context of different professional orientations. Jones International  University has a bachelor&#8217;s degree in business administration available with  specialization in accounting. They recommend that the student check with his or her state of  residence to determine the requirements for CPA status.</p>
<p>Jones International University also offers an MBA  degree with specialization in accounting. At the master&#8217;s level, an incoming employee with  expertise in accounting may be thrown into any number of roles. As a member of the management  team, the MBA in accounting may be involved in budget analysis, financial and investment planning,  and perhaps advising on legal decisions that involve fiscal matters.</p>
<p>University of Phoenix Online has a bachelor&#8217;s degree in business with an accounting specialty, along with an  MBA  program with a similar focus. Their bachelor&#8217;s program includes careful focus on technology  for the accountant, including the use of networking functions for the accumulation of financial  data. This accounting major also has courses in organizational behavior, economic, statistics, and  finance &#8211; in short, all of the skill sets required to make strategic business decisions based  on &#8220;the numbers.&#8221;</p>
<p>The University of Phoenix MBA in accounting includes coursework in advanced accounting information  systems, advanced cost accounting, advanced business taxation, accounting theory, and auditing. A  Phoenix MBA graduate in accounting will also be trained in making financial presentations,  typically the role of a chief financial officer or VP in finance. The online MBA  programs in accounting train their graduates for high level management roles.</p>
<p>Capella University also has both a bachelor&#8217;s in business and an MBA  program with specialization in accounting. One of the courses in Capella&#8217;s bachelor&#8217;s program  focuses on e-business. Web based retail is one of the hottest business segments in our economy,  and the back-office functions for both payment and accounting are different than for a standard  consumer-oriented business. Online degrees tend to be pragmatic in their approach with the primary  goal of getting the student successfully into the job market. Capella University&#8217;s e-business  class is an example of including contemporary market trends with the classics of accounting.</p>
<p>Capella&#8217;s MBA  program in accounting includes the standard advanced accounting courses, but also courses in  economics and finance, leadership skills and &#8216;accounting for decision making&#8217;. This last course is  another example of preparing the student for management presentations and participation in  strategic fiscal decisions. Many online colleges also have associate&#8217;s degrees in business available that specialize in accounting,  providing the student with a lower entry level &#8211; and the opportunity to continue studies at a  later time while still working.</p>

One of the terms for this type of database programming is &#8216;enterprise  resource planning&#8217;, or ERP. The concept behind ERP is that income and expense data of all types  and from multiple locations is assembled into a single program: one that provides corporate  management with the tools it needs to run the business effectively.</p>
<p>There are at least two major accounting issues facing almost any large corporation: integration  and scalability. Many corporations have acquired businesses &#8211; former competitors, perhaps &#8211; whose  accounting systems need to be incorporated into the corporate program. Often, those accounting  systems are different software programs, or are running on different platforms &#8211; one on UNIX, one  on Microsoft. Scalability means that an accounting software program must be able to grow with the  business that is using it, including major growth spurts such as acquisitions.</p>
<p>ERP programs treat accounting as one component of a larger data gathering program. Accordingly,  they are often designed to integrate with a number of different accounting programs, or at least  be adapted to do so. As a final variable, accounting programs can be written in a number of  computer languages, and integrating programs must take that challenge into account as well.</p>
<p>Major firms selling enterprise management software include Oracle, Microsoft Business Decisions,  SAP and Great Plains. These software packages include all of the standard accounting functions  along with customer relations management (CRM) tools, project management tools, sales programs and  other specialized information formats.</p>
<p>Instead of accounting functions all working off of an Excel spreadsheet format, they are provided  in modules and tied together to meet the needs of the business. Software of this size and  complexity is rarely sold off-the-shelf. Programs are customized to interface with existing  software and the languages that they use.</p>
<p>Expense entries, for example, become a simple process. The software categorizes the expense and  places it in the appropriate record or records, applies any manipulation necessary (such as  taxation category), enters that record and includes it in any periodic report that the system is  designed to generate. Simple entries then become tax records, a payable invoice and part of  multiple reports that are used to analyze business functions.</p>
<p>Most accounting functions are handled in similar fashion and can be entered from multiple sites.  Payroll functions are automated based on the original entry for the employee; withholding  functions and payroll records are automatically updated. Elsewhere, reports, charts and any  regulatory information needed that include the cost of personnel are generated for the purpose of  business analysis.</p>
<p>Such is the nature of modern day big-business accounting. Making it all fit together is an  expensive process that involves costly software and pricey consulting technicians. There is an  entire class of software called &#8220;middleware,&#8221; whose sole purpose in the digital universe is to  provide the interface capability between existing database programs, accounting programs, retail  point-of-purchase programs, and other components that need to be pieced together.</p>

<p>Business schools and leading media announce on a regular basis the recruitment of MBAs by leading  management consulting firms. The constantly evolving global economy dictates that candidates for  international positions have an MBA  because of the experience garnered during the degree program.</p>
<p>There are international MBA programs around the world, and programs that can be accessed online  by distance learning or e-learning. One of those is the Open University Business School of the UK,  which enrolls worldwide students. The European MBA programs are typically one year shorter than  those found in the United States.</p>
<p>In the United States, by one estimate, the average cost of earning an MBA  through an accredited full-time program (excluding room and board) rose from $124,000 in 1993 to  $162,000 in 2001. The bulk of the cost shown is in the form of foregone earnings ($109,000 in 1993  and $124,000) in 2001). This same report shows that when accounting for the decrease in expected  unemployment as well as the increase in expected wages and wage growth, the financial benefits to  holding an MBA  degree are the equivalent of an 18% rate of return on the cost of the degree.</p>
<p>Further statistics demonstrate that a starting salary for an MBA  degree holder with no corporate experience is $75,000. And the salary of a jobholder who  ventures out to obtain an MBA degree will increase 50%-100% when the degree program is complete.</p>
<p>Those statistics alone show the importance of a Master of  Business Administration Degree, and its place in securing your financial future. Perhaps it is  time for you to consider taking the first step to finding the perfect MBA program for you. It  could be you sitting in the Executive Boardroom.</p>

<p>Many times, small business that are founded with the family checkbook and become rapidly  successful can have a difficult transition into professional business keeping.
